Close Work Orders
Purpose
Close a Work Order when the work is complete, and costs and labour have all been captured.
Where to Find
Click
in the toolbar on the Work Orders browse window.

How to… Close a Work Order
1. Select the required Work Order on the Work Orders Browse window if the Work Order edit window is closed.
2. Click

The Change Status and Queue window opens.
3. Select the “Closed” Status in the lookup list.
4. Select the User who must process the closed Work Order (Queue for User).
5. Provide a reason or remark for closing the Work Order.
6. Click OK.
As a result…
- The Work Order's Base Status and Status changes to “Closed”.
- The Complete By date is updated on the Work Order - Feedback tab.
Business rules
- A Work Order's Status can only be changed to “Closed” if the Work Order's Base Status is “Approved”.
- A Work Order cannot be closed until:

- All Requests that are linked to a Work Order are closed.
- All Mandatory Tasks have been marked as “Completed”.
- A Permit Number is entered on the Work Order - Feedback tab, if it is required.
- A Work Task Labour record is added for at least one Task (typically the DEFAULT Task).
- The Work Order’s Completed On date must be after or the same as the most recent Work Order Task’s Completed On date.
- The Last Reading for a Meter/Usage based Task is calculated using the Meter’s Average Daily Rate when the Task's Last Done Date or Last Scheduled Date is updated.
For example, if a Meter’s Average Daily Rate is 1000km/day and the Task's Last Scheduled Date is set back 2 days then the Estimated next due reading date is also set back 2 days, and therefore the Meter’s Estimated Next Due Reading is recalculated as the [current Estimated next due reading - 2000kms].
- A closed Work Order can be re-opened by changing its Status to “Approved”.
