System Options - Work Orders tab

Set System Options that apply specifically to Work Orders.

The following table describes the system options available on the Work Orders tab:

Option

Description

Work Order Code

Code Length

Specifies the number of characters used for automatically generated work order codes. The code must contain a minimum of 4 characters, including the prefix.

Scheduled Prefix

Defines the work order code prefix used for scheduled work orders.

Unscheduled Prefix

Defines the work order code prefix used for unplanned work orders.

Follow-up work orders

Assign follow-up work order's responsibility based on:

Species how the responsible section, trade, and staff member is selected for follow-up work orders. The two options include:

  • Parent work order — If you select this option, follow-up work orders will inherit their parent work orders' responsible section, trade and staff member.

  • Follow-up tasks — If you select this option, follow-up work orders will use their own tasks' responsible section, trade, and staff member. If a follow-up work order includes multiple tasks, then it will only use the tasks' responsible section, trade, and\or staff member values if they are the same for all of the included tasks. If the included tasks use different responsible sections, trades, or staff members, then the follow-up work order will use "UNKNOWN" in its corresponding responsibility field.

Task Spares

Allow Direct Purchase Items

Specifies whether direct purchase items can be added as work task spares.

DP Item Codes Mandatory

Specifies whether the code must be captured when a work task spare is added for a direct purchase item.

Note: This is required for some third-party systems.

Maximum (DP) Item Code Length

Specifies the maximum work task spare code length for direct purchase items.

Maximum (DP) Item Description Length

Specifies the maximum work task spare description length for direct purchase items.

Allow Contractor Items

Specifies whether contractor items can be added as work task spares.

Contractor Item Codes Mandatory

Specifies whether the code must be captured when a work task spare is added for a contractor item.

Note: This is required for some third-party systems.

Allow Task Spares Delete

Specifies whether work task spares can be deleted from work order tasks.

Allow Work Order Task Spares Quantity Used To Be Changed On Closed Work Orders

Specifies whether work task spare quantities can be adjusted after the work order has been closed.

Allow More Items Issued Than Approved

Specifies whether more spares can be issued than the quantity approved on the requisition.

Unscheduled Work Order Defaults

Unscheduled Work Order Status

Specifies the default status to be used when unplanned work orders are created and no status has been specified.

Automatically Add Default Task

Specifies whether a default standard task should be added to all work orders when they are created.

Splitting And Merging

Merged Work Order Cancelled Status

Specifies the default status to be used for work orders that are cancelled as a result of work orders being merged. The selected status must have a 'Cancelled' base status.

Asset Work Order Lookup

Lookup Period

Specifies how far back the Asset Work Orders Lookup functionality should look when looking for existing asset work orders.

Work Requests

Make work requests inactive when closing or cancelling their linked work orders

Specifies whether work requests should be made inactive when a linked work order's status is changed to 'Closed' or 'Cancelled'.

Main Scheduled Reading Calculations

Enable Main Scheduled Reading calculations

Specifies whether the Main Scheduled Reading field should be added to the Proposed Work Orders and Work Orders browse window grids. The field will be populated by an automatic calculation that is triggered when:

  • Generating work orders or proposed work orders, OR
  • Changing an asset’s main meter, OR
  • Adding or removing an asset meter, OR
  • Adding or removing work order tasks
