View Roles

Purpose

Roles are a grouping mechanism that allows the organisation to:

Define specific roles in the organisation.
Select the Users that are associated with a Role.
Assign Rights to the Role, which simplifies the user rights process because a User is linked to one or more Roles, and inherits all the rights from the assigned Roles, which makes it easy to configure a large number of users quickly.

How to… View Roles

1. Click Shared Configuration - Roles then Browse.
The Roles browse window opens.

Roles

A role is associated with a group of users that perform the same functions and therefore need the same access rights.
Roles could be Artisans, Operators, Supervisors, Planners and System Administrator.
Roles are assigned to the users that have access rights to the system functions that the user requires to perform his/her work.

Business rules

Only active Users can be linked to a Role.
The access rights that a User inherits from the Role to which the User is assigned cannot be taken away, but additional Rights can be specified for the User.
Administrators must belong to each Role so that they have rights to assign Users to each Role.
A Role that has relationships to Users cannot be deleted.
A Role can only be assigned to a User once.
A Site can only be assigned to a Role for a User once.
A Right can only be assigned to a Role once.

Please note!

Making a Role inactive has no impact on the Users to which it is linked; the Rights assigned to the Role will still be applied to the Users to which the Role is linked.
An inactive Role will not appear in lookups.
If a Role’s access Rights no longer apply to a User then the Role must be removed (de-linked) from the User.
Appropriate Rights can be assigned to a User for the Sites to which the User has access via the Roles that are assigned to the User.
A User’s relationship to all assigned business objects (Functions) has to be removed (if possible) before the User can be deleted. If the User cannot be deleted due to references from other items then make the User inactive to prevent the User from logging on to the system.
