Profiles enable you to customise the way the On Key user interface displays data. A profile can include filters, sort orders, summarised groups, visible fields, the tab order for data capture, and chart parameters.
Profiles can be created for:
On Key uses four types of profiles:
Profiles | Description |
System Profile | System Profiles are the default profiles that ship with On Key. A System profile is included for each browse and edit window in On Key. The System profiles are used by default until Personal or Global profiles are created. Note: System profiles cannot be modified. |
Personal Profile | Personal Profiles are customised, user-defined profiles. They are only available to the specific users that created them. A Personal profile can be created for every browse and edit window in On Key. Note: Users can only access Personal Profiles that they create. |
Global Profile | Global Profiles are customised profiles that are made available to all users. Users that have the appropriate user rights can convert a Personal profile to a Global profile. Note: Global profiles can be mandatory or compulsory. |
Initial Profile | Initial Profiles are inherited by all new users by default. They can be created to minimise the administration effort required to create profiles for new users. Note: Only Global Profiles can be made Initial Profiles. |

Profiles are specific to a Site, User and item; the Site to which the Profile applies is specified when a new Profile is added by a specific User for a specific item.
The current profile is displayed at the bottom of the window when a user opens a browse window, lookup list, edit window or detail edit window.
