Link Spares to a Task

Purpose

Specify which Stock Warehouse Items are required as spare parts for a Task.

Spares

Spares are referred to as:

• “Stock Items” if they are kept in stock by the Warehouse and issued from the Warehouse when they are required for a Work Order, or
• “Coded Non Stock Items” if they are ordered from a Supplier when they are required for a Work Order.

The Stock Warehouse Item’s Classification for Stock Item (on the Stock Warehouse Item - Details tab) determines whether the Stock Item is available from the Warehouse, or is purchased from a Supplier when it is required for a Work Order.

If a Stock Warehouse Item’s Classification for Stock Item is:

• “Ticked” then the Stock Item is issued for a Work Order from stock on hand in the Warehouse.
• “Not ticked” then the Coded Non Stock Item is purchased for a Work Order.

How to… Link Spares to a Task

1.   Click  then Spares in the toolbar on the edit window.
The Spares for Task window opens.

2.   Click + then select one Stock Item that is a spare part for this Task,
OR
Click  then select multiple Material Master Items (for Asset Type Tasks) or Stock Items (for Asset Tasks) that are spare parts for this Task.

3.   Save the record.

4.   Repeat from step 2 for each additional Stock Item.

Business rules

• Commodity Code, Stock Item Code, Warehouse Code and Cost Element Code must be selected.
• Quantity can be a decimal fraction to two decimal places.

Please note!

• Linked detail records are only available after the Task is saved.
• When a Stock Item is added to a Task then the Cost Element defaults to the Task Spare Defaults - Default Cost Element specified on the Site - Settings tab for the Site associated with the Asset.
