Before a user can be sent an invitation from an operational role, an administrator must have configured the following:
Configure a Role Invite Notification Template
Link the Role Invite notification template on a global system level, or a site or on a user level
The user must have a Username and Password configured
link a staff member to a user to be able to use the email address of the staff member, so that the user can receive the invitation email
Once all of the above have been configured then the following process is followed:
1. Invite user by clicking on the Invite User to Operational Role icon in the User Operational Roles Screen
2. The email is then sent to the users email address that was provided through the staff member detail
3. The user opens the invitation email and clicks on the token url provided through the template configuration
4. The Onboarding page opens which prompts the user to insert and submit their password
5. The user inserts their password and clicks on submit
6. The user is shown the links pages, whereby he can navigate to the required application he wants to access
7. If the user clicks on an application that he is not assigned an operational role for, then he will receive an error message
8. The user is able to navigate to the logon page for the system which he has an Operational Role for. In this case the user has an operational role configured for On Key
9. if the user submits their password the user is able to logon to the applicable system
